1)      Drive the Advocacy in the ongoing initiatives and acts as a resource person to staff and outside partners

2)      Set up and manage the secretariat especially communication and reporting  to ensure that resources are available and services are provided in an effective and efficient manner 

Advocacy duties

  • Design and implementation of Advocacy concepts and deputise for association leaders
  • Prepare fundraising plan for the association executives
  • Gather data, research and compile reports for the coordinator
  • Organise seminars, workshops and special lectures; spend much of the time in correspondence with speakers, press and invitees
  • Write and send press releases, write seminar reports and undertake background research on the topics of seminars.
  • Responsible for particular campaigns and publish on website research programs including leading and contracting of the in-house research, background research where required, correspondence, meetings with researchers, partners as well as other stakeholders etc.
  • Actively participate and represent the organization in various networks and movements to share the organisation’s  position on various issues after in-house consultation
  • Support the process to form networks with various stakeholders such as development sector donors, NGOs, private sector, research organizations and academic institutions  to mobilize their support for sustainable development initiatives

Administrative duties

  • Manage HR and finance processes professionally including training required by staff
  • Create and maintain calendar of schedules, events and meetings for all
  • Setup and coordinate  meetings and business events  for the association
  • Draft, transcribe and distribute talking points, agendas and minutes of the meetings 
  • Draft correspondence and proposals to be signed off by the President 
  • Prepare correspondence, reports, and materials for presentations and publications 
  • Setup  travel,  accommodation  and  entertainment  arrangements  for  the association members  and  for guests , advisors and other V.I.Ps 
  • Receive/meet and greet clients and official guests in appropriate manner 
  • Prepare and maintain association ’s budget/expense report 
  • Maintain filing systems (both in electronic and hard copies) 
  • Perform general secretarial duties including, but not limited to photocopying, faxing  and mailing  
  • Coordinate/liaise with others   to follow up on deadlines required by the association
  • Handle sensitive project information with great tact, discretion and judgment & 


  • A degree in social sciences, mass communication, marketing or statistics from a recognized university.
  • Minimum of 3 years relevant experience related to job requirements
  • Experience with donor organizations’ solicitation and funding mechanisms international bilateral and multi-lateral agencies
  • Accountability with apt decisiveness
  •  Demonstrated achievement in the design and implementation of new business development systems, policies and procedures
  •  Strong organizational skills and ability to manage complex teams, precise scheduling and multiple and shifting priorities
  •  Proven team leadership skills and ability to work effectively in a team environment with both technical and non-technical staff from various cultural backgrounds
  •  Excellent computer skills including Microsoft Office Suite
  •  Excellent writing and editing skills, specifically in the area of proposal development (writing, editing, compilation, submission and online application systems)
  •  Strong verbal communication and presentation skills, with training / facilitation skills preferred.
  •  Excellent inter-personal  and management  skills
  • Ability to work under pressure
